    The Exchange

Read how to send a request securely, continue with one or more parties and decide yourself whether an agreement is made.

    What is the Exchange?

The Exchange is the secure environment within Dental Agents where your practice connects with external parties such as suppliers, service companies, labs or educators. You send a request yourself, receive the responses in one place and keep the whole follow-up organised. Dental Agents facilitates the contact but is not a party to the agreement you make.

When do you use the Exchange?

You use the Exchange whenever you need an external party to arrange something — for example quotes for small supplies, a technician for a unit with a fault, a demonstration of new equipment, training for your team or temporary staff via the support network. An agent can prepare such a request; you review and send it yourself.

What is the difference between a request and a case?

A request is your question to one or more parties, for example three suppliers for the same quote. If you want to continue with one of them, you choose 'Continue with' and a case is opened: a private conversation with that party. A case is not yet an agreement, and you can have cases with several parties at the same time.

    When is an agreement made?

Only when you explicitly accept a concrete proposal within the case. The party can then confirm, for example with a delivery date. Until you accept, nothing is fixed. If you decide not to proceed, you close the case without acceptance.

What does a partner see of my request?

A partner only sees its own request: the content, messages, attachments and the contact details you share for it. It never sees which other parties you contacted, what they offer or how you compare internally.

    What information may I share?

Everything needed to answer the request well, such as a description, photos of equipment, a product list or a PDF. Patient data and medical records never belong in the Exchange: it is an environment for business coordination between your practice and external parties.

How does the Exchange work with the support network?

If a colleague drops out, the HR Agent searches the support network for practices with available capacity. Everything stays anonymous until then. If both practices choose to share contact details, further contact runs privately via the Exchange, where you align availability, days and arrangements.
